Midwest FurFest 2010 Dealers Information

Application forms and dealer information were mailed to all past dealers and anyone who had requested to be added to the mailing list on April 10, 2010. If you are not on the mailing list and are interested in dealer space at this year’s Midwest Furfest you can print out an application form from here and mail it to the address below with a check for your table(s) and  any additional membership(s). Checks should be made out to Midwest FurFest. Checks made out to Brendan Lonehawk will be returned and your application held until a properly written check is received. Note that no dealer request will be considered complete, and will not be processed, unless both a check and a completed and signed application form are received.  Selling at Midwest FurFest is restricted to the Dealer's Den, the Art Show, and the Artist’s Alley.

Dealers are allowed to purchase up to four tables; one membership is  included with the first table but not with the second through fourth table. The cost of tables and additional memberships is shown on the application form. All tables are 72” long and 30” wide.  Dealers are permitted to share tables, but each dealer should submit a separate application, including in the remarks the name of the other dealer. All dealers and helpers must have memberships.

Each table will be provided with a single tablecloth and two chairs. A second tablecloth to cover merchandise may be provided, but this is not guaranteed. There will be a minimum of 4’ of space behind each table; note that island tables are likely to have more room behind them than wall tables. Be sure to check the appropriate box regarding table location preference and note any special needs or requests. Every effort will be made to meet all requests. Electricity is available to those dealers who require it, but due to hotel restrictions on the use of outlets dealers are requested to include in the marked space on their application what type of equipment they will be using (computer, lights, laminator, etc).

The description of your merchandise you provide on the application will be used in the conbook's dealers listing. We will also be posting a list of confirmed dealers, with merchandise descriptions and links as shown on the application, on our website.

Starting this year applications will be processed in the order received instead of being held for future processing. You will receive an email confirmation of the receipt of your application, which will be followed by written letter of confirmation with additional information. Applications received after all available tables are assigned will be put on a waiting list. Checks received from dealers on the waiting list will be held uncashed and returned after the convention if no tables become available.

If you find that you will not be able to make use of one or more of your dealer tables, please inform us as soon as possible. It is unfair to dealers who are on the waiting list to keep them waiting until it is too late for them to make reasonable travel arrangements. We will only grant refunds for table space if the cancellation is received in a timely fashion. Note that table space may not be transferred to another dealer without the approval of the Dealer's Den Manager.  Full refunds for dealer tables will be issued only if requested before November 1, 2010.  A refund of 50% of the table cost will be issued if the request is submitted between November 1 and November 12, 2010.  No refunds will be issued if a table is canceled after November 12, 2010.

Any table that is unclaimed as of 12:00 noon on Saturday, November 20, will be offered to a dealer on the waiting list, unless the owner of the table contacts us prior to that time. Our convention operations office, which will be able to pass any message to Dealer's Den management, can be reached once the convention begins by calling the hotel at 847-696-1234.

Dealers are required by the State of Illinois to have an Illinois Business License and collect Illinois State Sales Tax. If you do not currently have an Illinois Business License, instructions and forms to obtain one are available at the Illinois Department of Revenue website. Proof of an Illinois Business License is not required either with your application or at the convention, but be aware that dealers' information will be shared with all applicable government entities.

The Dealer's Den will be open for set up only on Thursday, November 19; the hours for set up on Thursday have not yet been determined, but will most likely be late afternoon or early evening. The starting time for set up on Friday has also not yet been determined, but may be early enough to permit the room to open to the membership as early as 1pm.

The following rules apply to all dealers at Midwest FurFest:

1) There are no restrictions on the sale of legal merchandise, but all merchandise must be sf-, fan-, or furry-related. Items of an adult nature may be sold if and only if these items are not on public display. All adult art must have genitalia (defined as female nipples or any detailing/definition of male and female groin areas) covered with stickers, post-it's, opaque tape, etc. Placing the covering on the plastic sleeve holding the print is acceptable. Items that are not suitable for minors must be kept in a separate binder from non-adult material. A tag or divider between “regular” and “adult” material is not sufficient. It is the responsibility of the dealer to keep such a binder out of the hands of anyone under 18 years of age, and to ensure that the material within is discreetly handled when being viewed by a customer. Minors attending Midwest FurFest will have clearly identifiable badges, and all dealers will be told how to recognize them. Midwest FurFest holds each dealer responsible to ensure that minors are not permitted to view, handle, or be otherwise exposed to adult materials. Dealers who are repeatedly found to be displaying adult-oriented items in such a fashion that underage members can view them will be removed from the Dealer's Den without refund.

2) Flashing/rotating lights, sound generators or other excessively annoying displays will not be permitted. The volume of video soundtracks or other audio must be kept low enough that they do not annoy customers or other dealers.

3) No pirated material of any sort will be allowed in the Dealer's Den.  Material that is otherwise unavailable in the United States will be decided upon on a case-by-case basis.  A rough guideline: Tapes of cartoons that have fallen into the public domain are acceptable, but a home compilation of "Minerva Mink's Greatest Hits" is not. Selling books, CDs or any other item that includes work by another person from which full permission has not been obtained is strictly prohibited.  If the material is questionable, the Dealer's Den Manager will try to be reasonable, but will err on the side of caution.

4) Due to the limited space behind tables, please restrict the number of people seated at any full table to two. Keep all items neatly piled under the table or as close to it as possible; do not impede the passage of other dealers behind the tables. Any items that are placed in the aisle in such a way that customer traffic is impeded will be removed by Dealer's Den staff.  Any person or group of people that is causing undue congestion will be politely asked to disperse.

5) There is to be no horseplay in the Dealer's Den. We do not want to see anyone trip and injure himself or someone else, or cause damage to someone else’s merchandise. “If you break it, you bought it.” Midwest FurFest is not responsible for injuries, breakage or loss incurred by or caused by any dealer or member.

6) Foreplay is definitely out. Take it elsewhere. Please.

7) The Dealer's Den Manager and/or staff reserve the right to refuse service to any person or entity.  If anyone is disruptive, ignores the rules, or harasses other persons and is not amenable to correction, Midwest FurFest will take the appropriate action, up to and including removal the offender from the convention. This includes dealers and friends as well as customers/members.  If Midwest FurFest's management is forced to eject a dealer or any other person due to violations of the rules, no refund will be given of any membership or table fees.

8) All decisions made by the Dealer's Den Manager regarding appropriateness of display, merchandise or conduct will be final. Decisions made by the staff are subject to approval by the Dealer's Den Manager; it should be noted, however, that it is highly unlikely that the Dealer's Den Manager will reverse a decision made by a staff member.
